I have already submitted an application to the Zoning Board and they believe it would be best to seek permission to use the parking area of the Town Recreation Facility on Peconic Lane as potential overflow parking if needed. We have contact Ken Reeves at the Recreation Center who indicates the facility does not presently have anything scheduled and that this request would not impose any difficulty if granted. As indicated in my description of the event, we are excited to be hosting this event over the course of the weekend as a combined fund raiser for Wounded Warrior Project with a Kansas City BBQ Society sanctioned judging event. We are not charging any fee for use of the property for this event to either of these entities and will be donating our net proceeds to The Wounded Warrior Project at the conclusion of the weekend. We will certainly endeavor to follow all of the same conditions and requirements that are imposed and are always concerned with the health, safety and welfare of the community and our neighbors as well as the well-being and orderly behavior of our guests when visiting the brewery. Thank you for your consideration of this request and should you need any additional information, please contact me immediately. GHBC@Gmail.com RICH VANDENBURGH DJ SWANSON JOHN LIEGEY Founder Head Brewer Founder PARKING PLAN / EVENT PLAN In connection with our application for a Special Event permit, please refer to the attached field plan which depicts the rear of our property and the layout of the BBQ Competitors for f1a ther reference. The address of the property is 42155 Main Road, Peconic. This is a two-day event from Saturday, June 27th at l Oam to l Opm and June 28th at l Oam to 6pm. Our property is 2.89 acres in size. It abuts both the Main Road (Rt 25) and Peconic Lane. We plan to hold the event outdoors in the rear grassy area of our property. This event will include a fundraising component for The Wounded Warrior Project. All net proceeds of the People's Choice event will be donated to Wounded Warriors. There will also be a Kansas City BBQ Society sanctioned judging event on Sunday, and trophies will be awarded to the top contestants based on those judges' criteria. Each participating BBQ pit master that has registered for the event will bring their own 10x10 pop-up tent and operate under same along the perimeter and interior section of the property (refer to field map). We will be permitting parking in both of our lots and allow for temporary parking in the employee only section as well. We will have signs directing traffic flow as well as restroom locations. There will be 14 exterior temporary restrooms, hand -washing stations and staff to monitor and keep clean the areas stocked and clean. There will be a perimeter established on the North and Eastern portions of the property that will block attendees from moving onto our adjoining vineyard property. Visitors will be able to walk around our property to view and speak with the participating contestants and easily access the parking areas on the property. While we have secured an agreement to use private parking facilities across the street on Peconic Lane for our employee parking during the event, we are hoping to secure permission to use Town Recreation Center parking on Peconic Lane to accommodate overflow parking if necessary. The main tasting room will be open and will serve to provide shelter and shade from sun or weather. The main location designated for attendees will be in the grassy area located on the north-east portion of the property. We anticipate that we will never have more than 300 to 350 guests in attendance at any one time. Security will be provided by Platinum Executive Security (PES) and Wayne Sailor on all dates. Platinum Executive Security is a duly licensed Watch Guard and Patrol agency in the State of New York (License #11000141500), and is duly insured with the Mechanic Group, Inc. Wayne Sailer 631-300-8745 is the main contact for PES. PES will provide (1) Supervisor and up to (4) security/parking personnel on each date. They will insure that all traffic arriving from the Peconic Lane and Main Road entrances will be moved quickly and safely into the designated parking areas, and will further seek to divert anyone from parking on the street to the overflow parking areas that would accommodate up to 150 more cars. A clear fire lane will also be established at both the Peconic Lane and Main Road entrances from those roads with a free run to the event area. In the event of an emergency situation, personnel will contact the proper agency and direct them to that location. INGRESS Traffic: Guests arriving from Peconic Lane and the Main Road will be directed by PES Parking Personnel in marked safety vests and radio communication and will direct arriving guests to the parking area via the 35 foot wide entrances at each parking lot location. All vehicles will be self parked in a neat and organized row by row fashion. EGRESS Traffic: All departing guests will be guided by PES Parking Personnel onto Peconic and Main Road in an orderly and controlled fashion so as not to create a traffic congestion situation. PES Parking Personnel will have safety vests, lights and radio communication directing departing guests. The Southold Police will maintain full traffic control of the Public roadways, and PES will assist but will not be working on any public streets or roadways. Any and all debris left at any location or parking area -will be removed and properly discarded at the conclusion of all events.
