HomeMy WebLinkAboutPrinting Town RecordsVOL THIS AGREEMENT made this 24th day of September , 1982, between the TOWN OF SOUTHOLD, a municipal corporation of the State of New York, having its office and principal place of business at Main Road, Southold, Suffolk County, New York, hereinafter called "Town", and ACADEMY PRINTING SERVICES, INC. , a corporation having its office and principal place of business at Horton's Lane, Southold, Suffolk County, New York hereinafter called "Contractor". WITNESSETH: WHEREAS, the Town has received bids after due notice for the printing of 500 volumes of Liber D, Volume III of the Southold Town Records, and WHEREAS, the Town Board has determined that the Contractor was the lowest responsible bidder and accordingly accepted the bid of the Contractor. NOW, THEREFORE, IT IS AGREED AS FOLLOWS: 1. The Town does hereby agree to engage the Contractor for the printing of 500 volumes of Liber D, Volume III of the Southold Town Records and the Contractor does hereby agree to perform said work in accordance with the Notice to Bidders, Proposal and Specifications attached hereto. 2. The Town agrees to pay and the Contractor agrees to accept the sum of ($6,765.00) Six thousand seven hundred sixty-five and no/100 dollars in full satisfaction for the performance of said work which said sum is to be paid by the Town to the Contractor as follows: (a) One-third (1/3rd) thereof upon the execution of this Agreement and (b) the balance thereof upon the completion, delivery and acceptance of the work by the Town. Any additional sums for printing in excess of 300 pages per volume shall be paid as provided in (b) hereof. Copies to the following: The Long Island Travler-Watchman The Suffolk Times Town Board Members Town Historian Town Clerk's Bulletin Board f SPECIFICATIONS FOR THE PRINTING OF LIBER D, VOLUME III OF THE RECORDS OF THE TOWN OF SOUTHOLD GENERAL Under these Specifications, proposals are sought for a contract for the com- plete printing and binding of five hundred (500) copies of Liber D, Volume III of the Southold Town Records. It is estimated that such volume will contain approximately three hundred (300) pages. All materials furnished and all work to be performed by the successful bidder shall in all respects comply with the laws, rules, regulations and requirements of all governmental agencies having jurisdiction thereof. Bidders are advised that they will be required to examine the town records to be printed to ascertain the nature and complexity of the work to be performed. Bids shall not include sales or other taxes from wich the Town of Southold is exempt. Each bidder shall be required to correct any and all errors in the work. Each bidder must submit with his bid, a properly executed non -collusive bidding certificate on the form attached to the bid form. Each bid must be submitted on the bid form supplied by the Town. All work hereunder shall be completed and delivery made not later than January 31, 1983. The bid price shall include any and all delivery costs of the books to the Southold Town Hall, Main Road, Southold, New York. PAYMENT Payment for the work shall be made by the Town as follows: (a) One-third of the`bid price upon the execution of the Contract, and (b) The balance of the bid price upon completion and approval of the work and the delivery of the books to the Town of Southold. BID SECURITY Each bid shall be accompanied by a certified check made payable to the Town of Southold in an amount equal to at least five percent (5%) of the bid price. If the successful bidder fails or refuses to execute the contract within five (5) days after he has received notice of the acceptance of his bid, he shall forfeit said bid security as liquidated damages. 0 0 The Town Board of the Town of Southold reserves the right to reject any and all bids or to waive any informality if it deems it in the interests of the Town of Southold to do so. CONTRACT, The successful bidder will be required to execute a contract, in the form a.ttached, within five (5) days of the acceptance of his bid. SPECIFICATIONS OF WORK Bidder is to provide all material and to perform all work required for the printing of five hundred (500) books, estimated to contain approximately 300 pages. Bidder is also required to submit bids for additional pages at increments of 4, 8 and 12 pages. Bidder is required to typeset in black ink using 70 pound paper of good quality. Bidder is to bind the volumes in black hard cover binding with spine imprint. The paper size is to be 5-1/2 inches by 8-1/2 inches. Bidders are advised that the printing is to be unabridged printing in the exact language, spelling and punctuation as contained in the original Town records unless otherwise authorized by the Town Historian. Upon request of the Town of Southold, the bidder must be prepared to submit proof to the Town of Southold of his ability to perform the work and services called for herein. PELL III SUPERVISOR TOWN OF SOUTHOLD • 0 SPECIFICATIONS FOR THE PRINTING OF LIBER D, VOLUME III OF THE RECORDS OF THE TOWN OF SOUTHOLD GENERAL Under these Specifications, proposals are sought for a contract for the com- plete printing and binding of five hundred (500) copies of Liber D, Volume III of the Southold Town Records. It is estimated that such volume will contain approximately three hundred (300) pages. All materials furnished and all work to be performed by the successful bidder shall in all respects comply with the laws, rules, regulations and requirements of all governmental agencies having jurisdiction thereof. Bidders are advised that they will be required to examine the town records to be printed to ascertain the nature and complexity of the work to be performed. Bids shall not include sales or other taxes from wich the Town of Southold is exempt. Each bidder shall be required to correct any and all errors in the work. Each bidder must submit with his bid, a properly executed non -collusive bidding certificate on the form attached to the bid form. Each bid must be submitted on the bid form supplied by the Town. All work hereunder shall be completed and delivery made not later than January 31, 1983. The bid price shall include any and all delivery costs of the books to the Southold Town Hall, Main Road, Southold, New York. W. Bidder is also required to submit bids for additional pages at increments of 4, 8 and 12 page s. Bidder is required to typeset in black ink using 70 pound paper of good quality. Bidder is to bind the volumes in black hard cover binding with spine imprint. The paper size is to be 5-1/2 inches by 8-1/2 inches. Bidders are advised that the printing is to be unabridged printing in the exact language, spelling and punctuation as contained in the original Town records unless otherwise authorized by the Town Historian.
