SPECIFICATIONS FOR THE PURCHASE OF
GASOLINE BY THE TOWN OF SOUTHOLD.
Under these specifications the Town of Southold seeks bids for the
purchase of all of its gasoline requirements for the 1984 calendar year for
its Police Department and Highway Department.
The Police Department maintains a 5,000 gallon capacity tank at the
Police Headquarters, Main Road, Peconic, New York, and uses approximately
55,000 gallons of unleaded gasoline annually.
The Highway Department maintains a 5,000 gallon tank for regular
gasoline, and a 2,000 gallon tank for unleaded gasoline. All tanks are
located at the Highway Department premises at Peconic Lane, Peconic, New
York. The Highway Department uses approximately 30,000 gallons of regular
gasoline annually, and approximately 2,200 gallons of unleaded gasoline
annually.
Bid price shall be based upon Northville Industries Corporation's Long
Island tank car consumer rack price, to which has been aded the delivery
cost per gallon. The lowest rack price within five (5) days of each delivery
will be used. The aforementioned tank car consumer rack price is published
daily in the Journal of Commerce, or may be obtained by calling Northville
Industries Corporation, Melville, New York, (516)293-4700.
The successful bidder will be required to make deliveries to the Town
within eight (8) hours of a request for a delivery from any Town Official,
and such bidder will be required to make deliveries on any day of the week,
including Saturdays, Sundays and Holidays. The successful bidder must make
deliveries in such quantities of 250 gallons or more, as may be requested.
The bid price shall not include any Federal, State or Local Tax from
which the Town of Southold is exempt.
The Southold Town Board reserves the right to reject any and all bids
and to waive any defect or informality in any bid should it be in the best
interest of the Town of Southold to do so.
All bids must be signed and sealed in envelopes plainly marked "BID ON
GASOLINE" and plainly addressed to the Town Clerk, Town of Southold, Town

Dear Judy:
I have reviewed the information which you sent me concerning fuel
and gasoline bids which requires that bid's for petroleum products be
related to a rack price. You will recall that when this matter was
discussed at a recent Town Board meeting, that Frank Murphy
suggested that one rack price be used and that such rack price be
that of Northville Terminal at Riverhead. I would suggest that the
matter be again discussed at the next Town Board meeting to make
certain that this is the wish of the Town Board.

There are several:l comments that I wo .i. e to make -
regarding the recent bid opening for gasolines for the Town
of Southold.
Benit Fuels of Smithtown was the low bidder. They underbid
us by $ .004 ( .4 ) per gallon. In the bid specs. , Mrs. Terry in-
dicated that the Town uses approximately 87 ,000 gallons of
gasolines per year. This means Benit under bid us by $348 if
annualized. I want to point out what you receive for the $348.
1) AUTOMATIC DELIVERY- We will continue to provide Automatic
Delivery service to the Town. The Town is on a fixed schedule
that is seasonally adjusted to maintain adequate supplies in
all of the tanks, particularly the Police Dept. In the event
Uzi: there is a run out in a tank or as has happened, a power
failure at the pumps, we provide
2) 24 HOUR SERVICE. As we have done in the past, we can provide
either 24 Hour Emergency Delivery Service or in the case of the
power failures, immediate access to our pumps on Youngs Ave.

This is an nvaluable service, especially to the Police Dept.
What I am saying, is that 4/10 of one cent is a very small
price to pay for a reliable company. We have had the Gasoline
bid for a number of years and feel that you have received
unpar l'Lell d service. Please consider the above points when
deciding on the bid award.

SPECIFICATIONS FOR PURCHASE OF
GASOLINE BY THE TOWN OF SOUTHOLD
Under these specifications , the Town of Southold seeks bids
for the purchase of all of its gasoline requirements for the 1984
calendar year for all Town Departments.
The Police Department maintains a 5 ,000 gallon capacity tank
at the Police Headquarters at Peconic, New York, and uses approx-
imately 55,000 gallons of unleaded gasoline annually.

The Highway Department maintains a 5,000 gallon tank for
regular gasoline and a 2,000 gallon tank for unleaded gasoline.
All tanks are located at the Highway Department premises at
Peconic Lane, Peconic , New York. The Highway Department uses
approximately 30,000 gallons of regular gasoline annually, and
approximately 2 ,200 gallons of unleaded gasoline annually.

ii In submitting bids , the bidder may either submit a fixed
price per gallon to be charged throughout the term of the contract,
or a price which is based on a rack price at the bidder 's source
of supply. If a rack price is used, the lowest rack price within
five (5) days of each delivery to the Town must be used. Verifica-
tion of the rack price used by the bidder must be supplyed by the
bidder to the Town upon request .
The successful bidder will be required to make deliveries to
the Town within eight (8) hours of a request for a delivery from
any Town Official , and such bidder will be required to make
deliveries on any day of the week, including Saturdays, Sundays,
i' and Holidays., The successful bidder must make deliveries in such
quantities of 250 gallons or more, as may be required.

f! Bid prices are not to include any taxes from which the Town
of Southold is exempt .
The Town of Southold reserves the right to reject any and all';
bids if it is deemed in the best interest of the Town of Southold
to do so.
