Dear Ms. Neville,
We are a Production Company based in Miami. Our client is a Danish fashion catalog named
BONAPARTE: http://www.bonaparte.dk/
We are interested in shooting our summer 2011 catalog on Long island East End, North Fork and South
Fork between August 30 and September 7, 2010. On some of these dates, we would like to shoot in your
town.
Our team is made of 12 people (photographer, crew and talents)with handheld still photography
equipment only. We will use a passenger van and one camper.
We will issue a certificate of insurance for General Liability with Great Divide Insurance naming the town
of Southold.
The photo team will stay at the Sound View Inn in Greenport.
We will need a photography permit for public locations like sidewalks and beaches in Southold, East
Marion and Orient.
I have received your application, filming rules, regulations, and checklist. Regarding the fees, I am not
sure we will need a Cleanup Fee since it is a very small crew for still photography with no equipment and
a camper where we keep our trash.

Hello Linda,
Thank you for your prompt reply.
I understand we have to follow procedure and that is fine with me I am only concerned by the time line,
do you think we will have enough time to obtain a permit if we give you precise locations and dates on
August 23 for a shoot starting August 30?
Also, what if after the photo shoot it is established that there is no need for a clean-up? Do we still have
to pay the fee?
As you can imagine we are on a tight budget and I am asked by the client to keep cost as low as possible.
Please let me know.

Good Morning Mr. Baes:
Town Clerk Elizabeth Neville forwarded your letter of intent and preliminary application for a photo shoot
to me. I look forward to working with you. I noticed in your letter that you mentioned you could forgo the
Clean-Up deposit. Unfortunately, it will be necessary for you to submit a check for that, as well as the
application fee, daily permit fees and beach parking if applicable. Once your schedule and locations are
finalized, I will be able to advise you of the total amount due. I have forwarded your letter and preliminary
application to our police department. Before a permit can be issued, the Chief of Police must approve the
application; this will make him aware of your possible plans.
Please do not hesitate to contact me should you have any questions or concerns regarding the shoot.

Hi,
The time line will be fine. Since you have given a preliminary application is will make the procedure go a
lot more smoothly once you get the actual dates and locations. I do want to make you aware that, if you
do use any of the Town Beaches, there may be other people on the beaches. We do not shut down our
public beaches for a photo shoot.
If you will notice I called it a clean-up deposit. Once the shoot is over, if there are no problems, the
check will be returned to you.
FYI, thus far I have always been able to return the deposit.
