This letter is in regards to the conversation we had on May 9, 1990. My bid for the uninterruptible power supply will not be the lowest price. As you know, HDR has a system built specifically for the AS/400 at a price or $8,966.00 complete. However, this product would not be in Southold's best interest. It is a single phase uninterruptible power system that, if run in conjunction with your generator, may have some problems such as generator overload, and UPS batteries constantly being discharged (this will reduce their life span) . With your existing 15 kVA generator, you have available 41.7 amps per phase; you have a running current of 19 amps on A Phase, 17 amps on B Phase, and 10 amps on C Phase. I obtained these figures from Andy Ruroede, your electrician. The above figures must be added to the amps per phase required by the UPS installed. For instance, our 1400-5 requires a minimum of 24 amps per phase at full load, and does not include additional amps required if the batteries are being recharged. Again, this unit is not in Southold's best interest. I will be bidding HDR's 1300-5 which requires a 3 phase input and has a single phase output. The maximum amps per phase on the 1300-5 will be 19 amps (worst case) . This figure is at full load, with the batteries charging. In conclusion, HDR's 1300-5 is more suited to your application than the less expensive 1400-5. Good luck in your deliberation, and please call me if I can be of further assistance. The frequency regulation is not tight enough to support a computer or UPS load. The UPS would remain on batteries until the reserve time expires and the computer would "crash" . I am proposing a modification to the generator. We will supply and install an Onan electronic governor and solid state control panel boards to achieve frequency regulation of plus or minus . 25%. This will enable the UPS to supply the computers for an indefinite period without depleting the batteries. Generator work will be done by Onan factory authorized service personnel using Onan parts . Warranty is one year on modification UPS System for Computer Loads: According to the IBM System power profile, your total system load is 1. 48 kVA. While a 3kVA UPS System will suffice for now, a 5kVA system is recommended. I am submitting quotes on both systems. SITE PLANNING AND CONSTRUCTION SERVICES: The project is the total Site Planning and installation of required facility and utility services to support the proposed installation of IBM equipment at a Data Center owned by Southold Town (the Owner) . Based upon your information and a site survey of your project location, IBM has defined the installation requirements as set forth in the section Schedule of Project Requirements. In accordance to the work defined in this section, IBM will arrange to provide the necessary services and furnish the required materials to complete the Work. IBM will provide the professional staff, project management, and technical support who will monitor the work to ascertain that the services are proceeding in accordance with your review and approval. In addition, IBM will: • Review and obtain approval for shop drawings and submittal data supplied by vendors; • Conduct site visits to review compliance with the approved installation documents; • Certify completion of the punch list; • Witness testing, calibration and demonstration of major equipment; • Coordinate any training programs to your maintenance personnel; • Gather warranties to be furnished to you; • Gather operations and maintenance manuals to be furnished to you; and, • Obtain As-Built drawings to be furnished to you. For specific details of these Services, see the section titled Schedule of Project Requirements. CUSTOMER RESPONSIBILITIES Southold Town will: • Designate a person to act as your Point of Contact; • Provide full information regarding your requirements for the Project, including but not limited to your design objectives, constraints and criteria; • Furnish existing building dimensions, design, construction drawings and specifications; • Provide Capital Improvements Form ST-8 (if applicable) for tax exempt status on labor in construction; 2A12404 ( 05/15/90 ) Page 2 • Maintain property insurance for the full value of the building and any materials to be used for improvements, insuring against perils of fire, theft and vandalism; • Maintain Owner's liability insurance to protect against claims resulting from this project; • Arrange for periodic review and comments by your insurance underwriter; • Pay IBM for all sales and use taxes imposed directly upon IBM in the performance of these Services; • Ensure that all existing roof and floor loadings are adequate and sufficient to support the supplied equipment; • Provide all roof penetrations such as pitch pockets, mounting plates, grillage beams, etc. for any roof-mounted equipment to be provided and installed by IBM; • Provide security clearances for IBM personnel and communicate to building landlords at your Location of the work to take place and obtain their approval if necessary; and, • Provide adequate space for IBM personnel at the Specified Location to coordinate construction activities; CONTRACT TERM The term of this contract is as stated in the Estimated Schedule. The actual project dates will be negotiated by IBM and the Customer once this Statement of Work is in effect. The construction schedule will be based on the contractor's availability to perform the work, and as agreed upon by IBM, the Customer Representative and the contractor during the walk-thru.
