ADOPTED AT THE REGULAR MEETING OFT E SUT OLD TOWN BOA ON
DECEMBER 3,2013:
WHEREAS the Town Board of the Town of Southold adopted a 2013 Capital Budget which
includes a $73,019 appropriation for the Laserfiche upgrade to be funded by borrowing funds
and a $5,500 appropriation for Restoring Early Town Records funded with General Fund
appropriations, and
WHEREAS the maximum estimated cost of the Laserfiche upgrade with a new server is
$35,000, and
WHEREAS the Town Board has determined that the Laserfiche upgrade should be funded with
General Fund appropriations rather than through borrowing funds, and
WHEREAS the Town Board has detennined that the $5,500 appropriation for Restoring Early
Town Records should be used to partially fund the Laserfiche upgrade, mid
WHEREAS the Town Board has determined that residual funds for other Capital projects are
available on the Capital fund including the automobiles for Central Garage and Programs for the
Aging, and
WHEREAS the Town's Capital Budget process requires a resolution to formally establish
Capital Budget items in the Capital Fund, now therefore be it

The correct account number is H.1680.2.500.300. The budget modification resolution does not provide the authorization
for the Town to purchase the upgrade, so you may need a resolution from the Town Board authorizing it. Note the
appropriation does NOT lapse at 121/31;'13.

Please be advised that VP Imaging, Inc. dba DocuNav Solutions is the sole source developer of the
GeoDocs software. GeoDocs software enables clients a seamless integration between Esrl and their
Laserfiche EOM system. GeoDocs is owned wholly by DocuNav Solutions.
The DocuNav strategy includes the use of Laserfiche Value Added Resellers {VAS} who are certified as
DocuNav VARs, and in turn are distributors of the GeoDocs software. The purpose of the DocuNav
policy is to promote and maintain as much as possible, the history and experience of the Town of
Southold's technology and vision drivers with the company responsible for the installation and
maintenance of their Laserfiche solution to promote an effective system.
If for an unforeseen reason, DocuNav Solutions were to go out of business, the source code for the
GeoDocs software is in Escrow and available to our customers. If you have additional questions, please
