RE: Municity Installation Process
Dear Betty:
Congratulations on your decision to purchase a Municity Integrated Parcel Management
Solution from General Code. We are confident your new system will produce dramatic,
positive and cost effective results.
Your Municity project includes an on-site process review, which will provide an
opportunity for me to understand how you currently conduct business. The
implementation of a Municity system typically requires Municipalities to modify some
procedures so the process review will help me to guide you in integrating Municity into
your daily functions. I would like to schedule this process review as soon as possible so
please contact me at your earliest convenience.
In order for a Municity project to be successful there is a lot of upfront work that must be
completed before the project is ready for implementation. During the process review we
will look at how you process permits, manage inspections and complaints, monitor
Planning projects and Zoning applications. We will identify documents that you provide
to your customers and others. In addition to the process review I will provide you with a
Municity workbook. The workbook is an electronic Microsoft Word document and
Excel spreadsheet that provides additional information about your existing systems and
processes. The completed workbook is a vital source of information that will provide the
data needed to pre-load your Municity database.
There are a number of things you can start doing in preparation for this project prior to
the on-site assessment.
??
Review your hardware and software requirements list (see attached) with your IT
professional to insure your site meets these standards.
??
Review the Municity Tech Support Required Conditions document (see attached)
with your IT professional and determine if there are any sticking points.
??
Collect hardcopy samples of all of the documents you provide to customers, other
departments or agencies. For examples, permits, certificates, form letters,
monthly reports and daily fee reports. These samples will need to be submitted
with the workbook that will be returned to General Code.
??
Prepare your users by notifying them that the project is underway and that during
the preparation process they may be needed to provide or verify data.
Once we have gathered all the information needed to pre-populate Municity, General
Code’s programming team will begin loading your data. During critical points in the
loading of data process we will hold a number of on-line meetings to review the data to
insure its accuracy. Depending on the amount of data, availability of individuals and
schedules this review period can last from 6-12 weeks. At the completion of all the data
reviews we will be ready for the on-site implementation. This is typically a weeklong
commitment that begins with the installation of the Municity software on your server and
PCs. Following the installation we will work in small groups to train your staff in all of
the functions of Municity. It is recommended that during the training period your office
be closed to the public or at least have individuals involved in the training be freed from
their normal duties so that they can focus on the training.
We look forward to this upcoming project and are committed to delivering the highest
level of service and value for your investment. I will be in contact shortly to schedule our
first meeting. If you have questions or concerns regarding the project at any time please
contact me directly at sbrennangeneralcode.com or (800) 836-8834. Thank you.

Sincerely,
Sandy Brennan
