Electrical plug for: portable scoreboard, computer, and PA system (we'll talk about these items & where they come from Dugouts with benches - ideally, should be 35'-40' long - this may turn out to be a community project. Some of our major East End sponsors can contribute to this. These should be designed with rear storage for baseball equipment & supplies. If this goes forward, we'll get a set of plans. Two double bullpen mounds - this is as simple as proper clay with landscape ties on 3 sides - each mound allows 2 pitchers from each team to warm up simultaneously. Backstop - I'm not saying the one there is impossible, but it would be nice to upgrade. It doesn't need an overhang. When possible, you'd like to have as much distance from home plate as possible, but there may be some limitations that we can make work. We could use a small area designated for Major League Scouts - if we do this right, there's going to be several at every game. This can be a set of seats roped off behind the backstop or a small bleacher. 5. Bleachers: it seems like there are plenty of existing bleachers that we can move into position. Lots of people bring blankets and lawn chairs. 6. Portable fencing of some kind to provide a buffer between dugouts & crowd. This can be some thing simple like snow fence. Portable, break-away type outfield fence as there's no warning track. Dimensions can vary, however, you'd like to be minimum 325' dead right & dead left; 380'- 400' center. Infield: probably as important as anything that the mound & infield be in good shape. In speaking with Steve, it seems like this will get plenty of attention. In terms of the grass: thatching, spot dressing, etc. all contribute to a nice field. We're dealing with players from all over the country who are used to stadiums - they know they're not playing in stadiums here, but we do try to make the field very presentable. I know Steve has a handle on this. Foul poles: we don't have to go crazy here - they can be pretty expensive. The ones we got for Sag Harbor last year weren't that expensive. The in-ground sleeves are set in concrete and you can cover these up in the off-season as needed. 10. Restrooms: we talked about having the school leave a door unlocked during games - that's great. Ideally, to would be nice to have a proto-lav or two closer to the field. One of our sponsors is Emil Norsic & Sons - I think they have a presence on the N. Fork but i'm not sure. If not, and there's a local company, we could reach out to them. It's our experience that the units don't get much use and cost of maintenance in not much. Here's a punch list of misc. things that we'll need - we'll see if the school has any of these items or possibly other sources in the community: PA system - doesn't have to be huge, but does need to be of a quality so that the announcer can be heard. We do a lot of fun stuff with the kids between innings: dizzy bat races, races around the bases with the mascot, but most importantly, the National Anthem, (we'll need a flag somewhere visible; if not, a 3'x5' hand held one the players hold on the mound) and every player has his own "walk-on" music as they come to bat. This adds to the atmosphere. Their name, hometown, position, and university are announced. We also need a CD player - music is an important component between innings. The volume levels do not affect surrounding neighborhoods at all. We road-tested this last year. It's gmat to have a portable, electronic scoreboard. It can be very basic, doesn't have to have balls & strikes, but the inning and scorn is needed. It's even possible to create an old-fashioned hand flip-type as long as it's large. Personnel: A couple of local volunteers can be a big asset - we need an intem or volunteer for each team or field to act as a statistician working on a computer with a special program we provide. At the conclusion of the game, stat info is generated to all east End newspapers as well as Newsday and website. We'll need to fmd a local volunteer announcer: someone who's colorful and known in the community. Between the innings, there are games, mentions of sponsors, players, etc. An AV guy to control music and sound If things go as planned, we should have 20-30 banners 3~x8' that go on the portable fence. Last year, we had a couple of the players that did this job - if we have enough game day volunteers, that would be better. The banners go up with zip ties and takes a few guys about 20 minutes. Mascot: be great to have a volunteer, saves money. Someone athletic and obviously, goofy that can dance and likes kids. The mascot becomes a real draw to the families with kids. Mascot along with players also work the crowd and pass the hat for contributions. Field Maintenance: The franchise will work with the school and will supply bagged turfus, lime, etc. Normally, it would be great if we had a field maintenance director who lines the field, drags the infield pre-garner and drags it again after both teams take infield practice. In terms of field use: unlit field: normally we start the games at 5:00 p.m. and they're over by 8:00 p.m. We'd need field access 1 ½ - 2 hours prior to game start for infield, outfield, and batting practice for both teams. You'd like to have drinks available and the ability to sell merchandise: caps, tee-shirts - those funds, along with the proceeds from passing the hat represent important revenue needed for team operations. Couple of last things: it would be great if we could identify a North Fork resident who could act as team secretary: organizing & distributing info; e-mails; someone Diane & I could work with. Right now, we should be tracking down phone numbers and e-mails for all of the individuals on the list that I'm attaching under separate e-mail. That list should grow and represent a solid list for your area. Lastly, I think it's critical that a North Fork meeting be organized for sometime in the next week or so. There are some decisions that need to be made and sub-committees that need to formed. Andrew Olsen has already offered to coordinate advertising - this is huge, but host family housing coordination can never start soon enough.
