RECREATION DEPARTMENT
MONTHLY REPORT: JUNE 2009
The lacrosse issue below was included in the May monthly report. I
PLEASE NOTE:
neglected to mention that I relocated the watercolor class to the recreation center to
avoid paying the maintenance fee.
MATTITUCK HIGH SCHOOL LACROSSE:
I received a call from Mr. James
McKenna, the superintendent of Mattituck High School, on Friday, May 29. He was
asking about the possibility of their school using Strawberry Fields in 2010 for their high
school lacrosse program. We use their gym at no charge to the town, so I do not have a
problem with this. One minor point, I did put in a request to use one of their classrooms
for a watercolor class and it came back approved, but with the stipulation that the town
pay something like $10/hour for maintenance services. I am going to see if that can be
rescinded for future requests for use of their classrooms.
RECREATION DEPARTMENT’S QUARTERLY BROCHURE:
Bid requests were
mailed out to 4 printing companies for a price quote on our quarterly brochure. Last year,
I mailed out requests to 25 printing companies and only 4 responded. Therefore, for this
year, requests were mailed out to:

ONLINE REGISTRATION:
You’d think that the remaining members of
reunited and tickets were on sale at the recreation office…on the first day of registration
for the spring and summer, I had a line of people 20 deep for a steady 3 – 4 hours. It
really didn’t slow down much after that as people were constantly streaming in to
register…add the mail-in registrations and the phone constantly ringing, and it got quite
overwhelming.
I briefly mentioned to Lloyd Reisenberg that I would like to look into the possibility of
setting up an online registration program. I believe Riverhead & Smithtown Recreation
Departments have one in place. Once it slows down here a bit, I may take a road trip and
view theirs in person. My goal is to enable people to roll out of bed in their pajamas,
grab a cup of coffee, and register for our programs at their computer in the comfort of
their own home.
RECREATION DEPARTMENT BUS TRIPS:
Price quotes were requested from a
number of bus companies in the area to see if we can’t get a better price for our bus trips.

AMERICAN RED CROSS LIFEGUARD TRAINING RECERTIFICATION
COURSE:
was held on Tuesday, June 2 at Stirling Harbor Marina in Greenport from
6:00 – 8:30 p.m. All town lifeguards who needed recertification attended this training
program. Our thanks goes out to the kind folks at Stirling Harbor for allowing us the use
of their pool.
DEPARTMENT HEAD MEETING:
took place at town hall on Thursday, June 11.
Numerous topics were discussed in an effort to keep departments apprised of the various
issues within the town.
BEACH TELEPHONES/VERIZON PHONE COMPANY:
I sent an e-mail to
Verizon asking them to reconnect all 6 of the town’s phones at our local beaches. Over
the fall, winter, and spring months, I put a temporary suspension on these phones, thus
saving the town quite a bit of money. Once they are reconnected, I will install the phones
and check to make sure that they are in working order.
2009 SUMMER RECREATION BROCHURE:
was an insert in the May 21st edition
of The Suffolk Times. Registration began on Tuesday, May 26th and brochures were
delivered to all 4 local libraries, various supermarkets, and town hall. All activities,
programs, and bus trips were also listed on our website. Registration has been going
strong throughout the whole month of June.
SUMMER EMPLOYEE ORIENTATION MEETING:
took place on Wednesday,
June 17 at the recreation center. All lifeguards, beach attendants, beach managers, water
safety instructors, and playground program instructors attended this mandatory meeting.
Various topics were discussed pertaining to their job duties.
LYME DISEASE, BLOODBORNE PATHOGEN, PERSONAL PROTECTIVE
EQUIPMENT, & POISON IVY/OAK TRAINING PROGRAM:
was held at the
recreation center on Wednesday, June 17. This training program is mandatory for all
town lifeguards, water safety instructors, playground instructors, beach attendants and
beach managers. All lifeguards were offered the Hepatitis vaccination at no cost to them.
CPR RECERTIFICATION PROGRAM:
CPR recertification for town lifeguards was
held at the recreation center on Saturday, June 20. All town lifeguards who needed to
update their CPR certification attended this class.
2009 TOWN OF SOUTHOLD EMPLOYEE HANDBOOK:
In an ongoing effort to
reduce the amount of paper distributed by our office, the Town of Southold Employee
Handbook was e-mailed to all summer employees – 20 lifeguards, 8 beach attendants, 2
beach managers, 2 water safety instructors, 1 lifeguard trainer, and 2 playground
instructors. All employees are required to receive this handbook and sign an Employee
Handbook Acknowledgement Form, which was included in the accounting paperwork
packet that was mailed out last month.
RECREATION PROGRAMS @ SOUTHOLD HIGH SCHOOL:
I met with David
Gamberg, Superintendent of Southold Schools on Friday, June 26. We discussed the
current usage of the school facilities by the recreation department as well as the school
using our tennis courts and possibly some fields this fall. The school board is looking
into the possibility of charging the town a fee for use of their classrooms, gym,
auditorium, etc. It seems that budgets are tight all over. The potential fee schedule
would be $75 for the auditorium, $50 for the cafeteria or classroom, and $75 for the gym.
BEACH OPENINGS:
All six of our town beaches opened on Saturday, June 27. All
beaches will remain open until Labor Day, Monday, September 7. Preparations on our
end included checking all beach phone connections, first aid kits updated, cleaning
restrooms, weeding beaches, training programs, handing out staff shirts, checking keys
and locks to beaches, scheduling employees, hiring new staff, stocking the beaches with
paper towels, toilet paper, soap, etc.
BATHING BEACH SAFETY PLAN:
has been updated for this year. In accordance
with the SCDOH rules and regulations, copies must be kept onsite at each beach. Six

SWIMMING LESSONS:
officially began on Monday, June 29 at Veteran’s Beach in
Mattituck. Four 2-week sessions are held at beaches on the bay, namely Veteran’s
Beach, Nassau Point, Founders Landing, and Norman E. Klipp Park. Our thanks goes
out to all of the generous people at the Mattituck Park District, the Cutchogue-New
Suffolk Park District, and the Southold Park District for allowing us the use of their
beaches at no cost to the town.
TOWN BEACHES:
My beach manager called in sick on Monday, June 29. As a result,
I had to spend basically the whole day checking up on the beaches. I found supplies low,
beach attendants and lifeguards not doing their jobs properly, dirty parking lots and beach
fronts, etc. I spoke with all employees and told them I expect the beaches to be in tip-top
shape from now on…I will make periodic visits to the beaches to make sure everything is
up to par. I also spoke with our two beach managers and told them to thoroughly inspect
our beaches each time they visit, which is what they should be doing anyway.
