Bruce began the meeting by explaining the drawings and model that Lily and he brought
to the meeting. The drawings reflect the pieces that the committee should be included
based upon the surveys. John Thatcher asked about the location of sewage fields near the
proposed sight and how close the building would be. Also, he asked about emergency
exits for the theater. Bruce said that the exits were mistakenly not included and that the
building will not be built on the sewage fields. Diana Fiske asked about the location of
the hallway by the workout room. She wondered if this is necessary. Bruce said that this
is a beginning, but the building is in three volumes and changing the location of the
hallway will change the roofing structure.
Bruce spoke with the Southold planning department and the number of users dictates
accessory requirements, such as the number of bathrooms. Lily said that the theater and
large multi-purpose room are classified as "places of assembly" and therefore require
certain facilities. The facility needs to be handicap accessible and would need an elevator
if there is a 2nd story, though if the 2nd story is used as storage space it does not need to be
handicap accessible. Bruce did not talk with the planning department about a pool. A
parking study has not been done. A study needs to be done that shows where people will
park. The building as currently drawn is about 8,000 square feet, not including the
covered porches. Sarah Moody wondered if we could scrunch the size of the large multi-
purpose room?
Bruce wondered what else has happened since the last meeting? The booklet has not been
together. We want to have this done by the end of July, so Sarah, Sara McLean and John
Spofford will work to put this together. Bruce and Lily will work to tighten up the design
and shrink the size of the building. They will also work to make sketch images that are
presentation oriented. The group discussed contacting a local contractor to find out how
much it might cost to build a facility of this size. The group felt that this was a good step
and would help us to understand costs associated with the project.
Bruce and Lily will try to reduce the size to less than 7,000 square feet. If this is going to
happen, what pieces are most important to the group? Do we need a smail multi-purpose
room? Could that space double as a teen center or daycare? Are there enough kids for an
exclusive space, dedicated to a day care center? We may need a daycare center if we are
trying to attract young families. Maybe instead of a teen center space, the entire facility
could be set aside as a teen center one night a week or during certain evenings? The smail
multi-purpose room could double as the daycare center, while the office doesn't have to
be a large size. John Thatcher wondered if we have begun exploring incorporating as a
non-profit. This has been discussed and needs to happen, and the discussions are on
going. John Spofford asked Lily and Bruce how long they thought it would take from
start to finish to complete this project. They felt that this would take 2 to 2 Y, years to
complete.
