RE: Application for a Permit to hold a Special Event
Kim's Kindness 5K—October 7,2023,8:00 am to 10:00 am rain or shine
Dear Clerk,
In 2022, my dear cousin Kim Pawlowski, a longtime resident of Mattituck, passed away suddenly.
Her death was a shock to our entire extended family, as Kim was one of the most generous and kind
person you would have ever known. She spent many hours volunteering at the local homeless shelter
and helping out at the soup kitchen. She was a living donor and gave her kidney to a family friend, which
was the purest act of kindness anyone could give.
In her honor, her family started a charitable foundation known as Kim's Kindness
https://kimskindness.org/), which raises money to support LOCAL non-profit organizations as well as an
educational scholarship to students at Mattituck High School.
As a family, we have been working on fundraising ideas to help raise not only money but also
awareness of the acts of kindness that will continue in Kim's honor. As an avid runner, I have been
involved in my local community in which I have assisted with many local biking and running events. Using
my experience,I am committed to establishing an annual 5k fundraising event in Mattituck in Kim's honor.
We are working with John McHugh of Strong Island Running Club who will provide race day
professional assistance. I have reached out to Lydia Barns with Mattituck Cutchogue Union Free School
District, who has been running the annual Turkey Trot, for additional support for this event. Upon
approval of the application, we are prepared to work with either Strategic Risk Transfers or USATF to
obtain the necessary insurance coverage for this event.
As you can see, we have the knowledge and the support to be able to host this special event.
Therefore, I am remitting this application for a permit to host the Kim's Kindness 5K Special Event on
October 7th, 2023. The race will start at 8:00 am and we will require all runners/walkers to be off the
course by 10:00 am. We will be using the same course as the Mattituck-Cutchogue Turkey Trot and the
route is attached to this application. We will need to be able to set up mile markers on Friday,October 6th
and have volunteers set up along the route as early as 7:00 am on race day Lastly, we are seeking the
same level of support from the local police and road closures as is provided for the annual turkey trot
noted on the attached course map.
Should you have any questions regarding this application, please contact me at 434-960-3405 or email me
at feTch'ei ahoo.com.
Yours kindly,
EL er

Denis,
Although I would like to accommodate this fundraiser, our department is not in a position to devote the necessary
manpower to provide traffic control for a 5K on October 7, 2023.This is a Saturday on Columbus Day weekend, one of
our busiest traffic weekends of the year, with farm stands and wineries in full swing and our department already
providing a three-officer detail at the Harbes Family Farm in Laurel. It would be difficult to disrupt the flow of traffic on
the North Fork, especially having to close down State Rt. 25 for the runners as our plan calls for. I'would suggest the
group looks for a different day to hold this event, perhaps after the Fall weekend traffic subsides.

Good Morning,
Your special event application was sent to other departments for their recommendations. The Police Chief came back to
us saying that he would like to accommodate the event but during that weekend, there are too many other events going
on to add another one due to traffic issues. He recommends finding a weekend after the fall weekend traffic issues
subside.
You can email us back with other possible weekends that may work and we can go back to the Police.
Any questions give us a call.

Denis,
The weekends in the Fall are tough, they are busier for us than the summer for the most part.September 23 would
be out as that is Maritime Festival weekend and we devote all of our resources to that. September 30 we are in full
swing with Fall traffic and the Harbes Detail. We could try October 28th, but that's cutting it close on Fall weekend traffic
and we already have a Halloween parade scheduled for Greenport Village at 1100 hrs. November 4 might be a good
alternative.

Denis,
Unfortunately, November 4th is not a good day for our race coordinator. So, we are going to need to do the event in the
spring of 2024.
Can you ask for availability in March and April of 2024.
Thankyou

Denis
I finally heard back from the race director and we would like to have this race on Saturday April 13,
2024. Please confirm with the police department that this date will work for them. Considering that we are a
year away I'm hoping that they can accommodate this request.
All the best
Alice
