Youth Bureau Monthly Report
Preparing for:
-Suicide Awareness with Response Crisis Center to be held March 18'': promoting event,
communicating with schools, organizing information and resources to distribute.
Assisted 2 teens with scholarship searches.
Assisted 4 teens with applications.
Communications with schools about community service, availability for ROTC students to come
for free dresses for the Military Ball and programs.
Distributed 4 drug test kits and provided drug treatment resources available for youth.
Met with Councilwoman Smith, at her request, to discuss the Youth Bureau, program/access to
programs/events on the website.
Preparing for the Prom Dress Showcase, April 12 -14, 2024. Students have assisted with
organizing the collection in return for community service.
Updated the Youth Bureau Resource Directory.
Hosted Board Game Battle with the Recreation Dept. Feb 16'', had 30 kids attend, fun was had!
Created/ distributed flyers, newsletter, updated bulletin boards.

Preparing for: April Prom Dress Showcase event. April 12 -14, 2024. Communication with local
libraries, sharing flyers, collecting dresses, sharing flyers with schools, hanging in community
locations.
Military Ball - 7 dresses went out.

events.

Preparing for: April Prom Dress Showcase event. April 12 -14, 2024. Communication with local
libraries, sharing flyers, collecting dresses, sharing flyers with schools, hanging in community

April 2024
Youth Bureau Monthly Report
April was very busy with the Prom Dress Showcase event; April 12 -14, 2024. As well as private
dress appointments for students unable to attend the weekend event. So many generous
community members donated gently used dresses. The local libraries assisted with promoting the
event and collecting dresses for the event, their support was greatly appreciated. Much work
went into planning, preparing, facilitating and the end result was many local teens left happy
with a beautiful (and free) dress for their prom. 67 dresses in total went out in April.
Several teens from Southold and Mattituck High school completed community service helping to
prepare, decorate and clean up. It was a wonderful prom and community service season here at
the Youth Bureau.
Created/ distributed flyers, newsletter, updated bulletin boards. May is national Mental Health
Awareness Month, the newsletter, portal and bulletin board are helping to create awareness and
share resources.
Meet with the new general manager of the Osprey Baseball team, looking forward to hosting
baseball clinics and events in June/July once their season game dates are set.
Movies in the Park planning is underway, dates for July and August are set, Youth Bureau
Committee will be voting on movie titles in May.
May 2024
Youth Bureau Monthly Report
May was a month of meetings, inventory, organizing, ordering and summer planning.
Many individual dress shopping appointments happened—88 dresses went out in total - April
through May. 88 very happy teens. 20 dresses donations came in May.
Summer movie dates and titles are finalized for Tasker Park.
Baseball clinic is awaiting the finalized game schedule—then the dates for the clinic can be set.
Flyers, information and banners are ready to go as soon as the dates are confirmed with the
general manager in June.
Created/distributed flyers, newsletter, brochures. Updated bulletin boards, communicated with
Lloyd; IT dept for flyer printing and website updating (many thanks to Lloyd; IT dept). I have
worked on keeping the portal up to date, many thanks to Janet;Rec dept for sharing the portal,it's
a great way for our community to find information, activities, upcoming events etc. Time was
also spent answering & returning calls and emails about resources and needs.
I worked with Julie; Town Attorney to complete a Sports Equipment Grant application, her input
and time were essential and appreciated. Also met with Janet; Rec Dept and Eric; DPW to access
and compile athletic equipment needs list in hopes of securing this grant.
July 2024

Created and distributed flyers and newsletter for upcoming events. Posted on the websites and
the portal and hung flyers in community areas such as, supermarkets, laundromats, convenience
stores etc.
Newly purchased reusable 4x8 vinyl banners, 1 Coming Soon Baseball Clinic for Youth and 1
Coming Soon Outdoor Movie were hung at site locations (Cochran Park & Tasker Park)with zip
ties, both banners displayed the town logo, registration portal url and both held up nicely and
created awareness. Very happy with this new advertising method.
Hosted Baseball Clinics with The Ospreys on 6/29 10-12pm, 7/12 5-7pm and 7/21 7-9pm. 113
youth signed up and participated. General Manager Todd Newman, the coaches and team were
great to work with and gave all participants an experience to remember. Cold water was
distributed by the Youth Bureau at each event. The Ospreys gave away swag and signed
autographs at each clinic and held a barb-a-que on the final evening.
Hosted an outdoor movie at Tasker Park. The free evening started at 8:45 with the movie Wonka
on the big screen, along with glowsticks and popcorn made over 50 families happy. Great
feedback about the open and clean bathrooms.
Had a very productive meeting with our Police Chief and SRO to discuss youth and data for
upcoming Youth Bureau report for NYS 5 year plan.
Distributed to youth: 6 back to school supply bags, 4 Scholarship Finding Kits and 10 baseball
items of mitts, cleats & bats.
