We are highlighting the quality, innovation,sustainability, and community that is ubiquitous in the region. Since 1973, Long Island wine growers have been dedicated to producing wines of the highest quality, providing environmental and community stewardship,and preserving this magical place that is our home. It will be a joyous summer event featuring over 35 East End winemakers,wines,and delectable bites prepared by renowned local restaurants and purveyors. This grand event will celebrate the rich agrarian heritage of the East End and raise funds for collaborative initiatives dedicated to advancing viticulture,sustainable agriculture,and community relations. VENUE: Peconic Bay Vineyards,31320 Main Road,Cutchogue Load-in: Friday,August 18,2023 Event date:Saturday,August 19,2023 Load-out:Sunday,August 20- Monday,August 21,2023 McBurnie Tents will install a 60'x150'Century Pole Tent(30' Mids, 10' Leg Height)as the Main Grand Celebration Tent,and a 30'x60'Century Pole Tent(8' Leg Height)for Catering/BOH on the back lawn of the property. Please see aerial map. We will use the existing patio and picnic areas for additional guest seating and stations. Peconic Bay Vineyard's Tasting Room will be utilized for back-of-house storage and production (not for guest usage). TRAFFIC PLAN/BARKING: Guest vehicles will enter on the east side of Main Road into Peconic Bay Vineyard's secondary entrance. Rideshare/taxi drop-offs will occur in the starred "Valet Drop-off Area"designated on the diagram. Guests who are driving in will be directed by First Class Valet's parking attendants to self-park and we may have a Valet Service available for VIP guests and talent. Guests will self-park,guided by First Class Valet staff, in the large field indicated on the map. Staff,exhibitors,and vendors arriving earlier in the day will park in the secondary lot towards the back of the property. . IN will be checked to ensure attendees are 21 years of age or greater,and tickets will be validated in order for guests to receive an entry wristband. All guests will be directed to the Registration Area and must check in to participate. Staff/vendors will receive a different wristband color earlier in the day during set-up. - (2)24' restroom trailers will be available for guest usage, plus an 18'trailer for staff/vendors. These will be located in the gravel parking lot area outside the Tasting Room for ease of access. - Peconic Bay Medical Center will provide an ambulance and EMT onsite. REFUSE/RECYCLING: - We will obtain a large container from Mattituck Sanitation for the garbage and schedule its removal post- event. - Recycling and waste management guidelines of the town will be followed,with appropriate signage to assist guests onsite. East End Hospitality Group's Catering staff will organize and support the waste disposal and removal during the event. LIGHTING: - McBurnie Tent will provide lighting inside the tent, including up-lighting and bistro lights to illuminate the canopy and provide for a safe environment as dusk falls. TRAFFIC PLAN/PARKING: Guest vehicles will enter on the east side of Main Road into Peconic Bay Vineyard's secondary entrance. Rideshare/taxi drop-offs will occur in the starred "Valet Drop-off Area" designated on the diagram. Guests who are driving in will be directed by First Class Valet's parking attendants to self-park and we may have a Valet Service available for VIP guests and talent. Guests will self-park,guided by First Class Valet staff, in the large field indicated on the map. Staff,exhibitors, and vendors arriving earlier in the day will park in the secondary lot towards the back of the property. . We have contracted 15 directional parking attendants and 2 parking managers for the full day(9:00 am—9:00 pm)through First Class Valet. IDs will be checked to ensure attendees are 21 years of age or greater,and tickets will be validated in order for guests to receive an entry wristband. All guests will be directed to the Registration Area and must check in to participate. Staff/vendors will receive a different wristband color earlier in the day during set-up. - (2) 24' restroom trailers will be available for guest usage, plus an 18'trailer for staff/vendors. These will be located in the gravel parking lot area outside the Tasting Room for ease of access. - Peconic Bay Medical Center will provide an ambulance and EMT onsite. REFUSE/RECYCLING: - We will obtain a large container from Mattituck Sanitation for the garbage and schedule its removal post- event. - Recycling and waste management guidelines of the town will be followed, with appropriate signage to assist guests onsite. East End Hospitality Group's Catering staff will organize and support the waste disposal and removal during the event. LIGHTING: - McBurnie Tent will provide lighting inside the tent, including up-lighting and bistro lights to illuminate the canopy and provide for a safe environment as dusk falls. East End Entertainment will provide some additional ambiance lighting and a tent wash to enhance the tent. - We will install 3 lighting towers in the parking areas to illuminate the guest walkways and provide a safe environment for departures and load-out.
