The Southold Town Board, at its regular meeting held on March 23, 2021, granted permission to
Community Action Southold Town to hold its Mighty North Fork Triathlon on May 30, 2021. A
certified copy of this resolution is enclosed along with the Town of Southold Policy for Special
Events on town Properties and Roads. Failure to heed the policy may result in the loss of
Clean-up deposit. An insurance policy naming the Town of Southold as additionally insured
has been filed with this office. The applicant is to comply with all executive orders of the State
of New York. Please contact Captain Kruszeski at the Police Department, as soon as possible, to
coordinate traffic control.

Re: CAST Mighty North Fork Triathlon
Community Action Southold Town and EventPower are partnering to launch the 21st Annual CAST
Mighty North Fork Triathlon. Our collaborative goal is to:
• Produce a safe and profitable event
• Integrate community
• Donate directly to the community
In past years the CAST: Mighty North Fork Triathlon has raised money to help the residents of Southold.
In 2020 the race became a Virtual Event and we look forward to teaming up again to help those in need
with a live race in 2021.
Enclosed please find the signed permit application for the 21 st Annual CAST Mighty North Fork Triathlon
scheduled for May 30, 2021 at Cedar Beach in Southold, NY. The Triathlon begins at 6:50AM and is
completed by 10:OOAM. The parking lot, beach and roads will be cleaned and the race site will be
cleared by 11:OOAM. The race consists of a 500 meter swim, a 7 mile bike ride, and a 3.5 mile run. The
course will be the same as it has been over the previous years. A map of the course is attached.
Due to COVID-19 a safety plan is enclosed that ensures the safety of all athletes, community members
and volunteers/staff. We will adjust the safety plan to follow all NY State Guidelines based on the rules
and restrictions come May.
Enclosed is a $250 check for the application fee, a$1500 check for the clean up deposit. We will forward
the insurance certificates once received.

Dear Town Supervisor, Members of the Town Board and Town Clerk,
This letter is to explain the mission of the CAST Mighty North Fork Triathlon to be held on May
30, 2021. This will be the 21st annual Mighty North Fork Triathlon. Our mission is to fight poor
health through a culture of care on Long Island. Focusing on goal setting, health, fitness and
wellbeing we want to promote and glow the competitive sport of triathlon through the safe and
fair conduct of races. We are looking to educate the community about physical and mental
health and generate funds for research and local community outreach.
The triathlon would start at 6:50 AM and be over by 10:00 AM. We will clean up the parking lot,
beach, and roads, and leave the race site by 11:00 PM. The race consists of a 500 meter swim,
a 7 mile bike, and a 3.5 mile run.
EventPower is proud to produce triathlons across Long Island. We produce 13 adult events and
3 youth events per season.We encourage participation from anyone interested in athletics.

The purpose of this Incident Action Plan(IAP)is to identify and mitigate any potential risks associated with the planning,

Medical Emergencies Procedure
All medical emergencies will be reported to the Command Post by use of Radios, cell phones or by verbal means. The
Event Coordinator will call directly to the Command Post and report the incident/problem.The EMT(s)will report to the
Command Post,as appropriate,when entering the event and notify the Command Post when leaving the event.The event
coordinator will make sure an area is open to allow EMS personnel,vehicles and equipment access to the event grounds
wherever emergency assistance is needed.The nearest hospital for receiving patients is East Long Island Hospital
Police Emergencies Procedure
For all police emergencies, Notification to the command post. Police enforcement will be provided by the Town of
Southold Police with be station at position listed in the attached Course control document.
Lost Child Procedure Police will be notified. In the event of a lost child, he/she should be taken to the Command Post.
The child, if able, will be asked to provide parent/guardian information. Lost child announcements will be made from
Stage, informing the crowd of the situation. The child will remain under the supervision of the Command Post who will
ensure the child is comfortable and safe until his/her parent/guardian arrives. Police should be present to check
identification of adult claiming to be the parent/guardian before release.

CAST Mighty North Fork Triathlon COVID-19 Safety Plan
This year would mark the 21"CAST Mighty North Fork Triathlon.Due to COVID-19 we have implemented a
safety plan and a different approach to the event.We would adhere to all state guidelines and will clearly
communicate our plan to participants via emails,our website and through signage at the event. The below
safety plan is based upon current NY State Guidelines.
Summary:We propose to limit the number of participants in this event so that we can safely have waves of
50 athletes at a time while not increasing the time of our permit application.
Masks will be mandatory for all staff,volunteers,participants and spectators. Participants will be able to
remove their mask before they enter the water and then must put a mask back on when they cross the finish
line. We will have masks available at the finish line and participants will have a"self serve"station to retrieve
their mask,finisher medal and bottle of water so that we are eliminating touch points with the participants.
As of current NY State Guidelines and Nassau County guidelines we will not allows any participants to register
from states that are on NY's do not travel list.
Athletes and spectators must complete a Health Screening.The questionnaire will include if they have been
out of the country,near anyone with COVID-19 or feeling ill.This would also help with contact tracing and we
will keep these forms on file for 90 days:Only those that answer all questions that follow NY State guidelines
will be able to attend the event.
Athletes will be limited to how many spectators they can bring. Spectators must wear a mask and fill out a
Health Screening questionnaire.
Event Day:
We will have hand sanitizer available throughout the event.
At the start line,all participants would be required to wear a mask from the time they enter the race site until
the time they are at the start line. We would have a garbage pail at the start line where they could dispose of
their mask,and then at the finish line we would have a self serve mask station where everyone must take a
mask and put it on before they leave the finish chute.
In addition,we will only have 1 water stop on the course and this will be with 8 ounce bottles of water and
will be self serve. We will have a volunteer wearing a mask and gloves put the water bottles on the table and
replenish as needed, but will not distribute any water to participants.
Our bike racks usually hold 16 bikes,but we will reduce the number of participants per rack so that social
distancing is in place. We will allow participants to rack where they like so that family members can rack
their bike together.
Post race food will be individually wrapped bars and fruit. They will be laid out on a table spaced apart and
participants would take their own item with a staff member ensuring athletes touch only what they take.
Hand sanitizer and disinfecting wipes will be stationed at this table in addition to every table throughout the
event.
Key points on how EventPower will keep racers and our community safe:
1. All participants need to wear a mask from the time they enter the race site to the time they start the
race. We will have garbage pails at the start for everyone's mask.

6. Signage will be posted throughout the event stating to practice social distancing and stay 6 feet away
from other participants.

WAVES: Participants will line up in groups of up to 50 people. Within each
WAVE participants will be 6 ft apart. Everyone will be pre-assigned a wave so
they know when they need to line up and avoid a mass gathering in one spot.
