SPECIAL EVENT PERMIT INSTRUCTIONS AND APPLICATION FORM
Applications for a Special Event Permit are-subject to an inter-departmental coordinated review by the
Southold Town Board,Town Attorney,Town Assessors,Land Preservation,Building,Planning,Zoning
Board of Appeals and Police Departments,and the Suffolk County Planning Commission.
Application fee: $150.00 per application_ Up to six(6)multiple events of the same type,occurring over
a period of three months,may be permitted on one(1)application for a fee of$150.00. However,specific
details of each event must be included with this application.
All applications must be•submitted at least 60 business days before the event. Applicants
are encouraged to submit applications as early as possible.
Any cornn7 t application that is not submitted 60 or more business days prior to the scheduled
event may be rejected or subject to a late processing fee of X250.00 by the Office.of the Town Clerk
unless a waiver is obtained. Requesting an expedited review must be submitted in writing to the Town
Clerk.The Town Cleric will forward all applications to the Special Events Committee for processing.
The Committee will obtain comments on all applications from relevant Town, County and/or State
agencies and will forward completed applications to the Town Board with a recommendation as to
whether to grant or deny the application.
The Town reserves the right to request additional information from an applicant to address issues related
to the health,safety,and welfare of the community.
When is a Permit Required?
All Special Events,per Southold Town Code Article I,Section 205-2(Definitions)must obtain a permit.
Occasional events on private residential properties hosted by the owner thereof that are by invitation such
as family gatherings,weddings, graduations;parties or not-for-profit fundraisers do not require permits.
Any use of residential 12E=a,for profit such as a venae for weddings or other events is l rohibited"

PERMISSION IS HEREBY GRANTED SU TECT TO THE FOLLOWING CONDITIONS:
1. By acceptance of this perink applicant agrees to adequately supervise and direct all parking to be on
the premises or at another site, and to provide parking assistants and any additional traffic controls
necessary for this event.Parking is strictly prohibited on ANY Town- County or State Roads or Rights of
Stay.
2. Traffic control at events for three hundred(300)or more people shall be provided by a qualified traffic
controller in accordance with the attached,approved traffic control plan.
3. One "on-premises" sign not larger than six(6) square feet in size may be displayed not longer than
thirty (30) days before this event, and removed immediately after the event. Directional parking signs
shall be adequately displayed.
4. Applicant indemnifies and holds harmless the Town of Southold from all claims, damages,expenses,
suits and losses including but not limited to attorney's fees arising from activities under this permit.
5. Tent proposals must receive permit approval from the Southold Town Building Inspector before
placement on the property and must meet all fire and safety codes.
6. This permit is valid only for the time, date, place and use specified above, and for the designated
event_ Each additional day will require a separate permit application, fee, and related documents for

7. Adequate temporary sanitary facilities must be provided by applicant for this event and applicant

Where: Peconic Bay Vineyard Field
What: Dance Rehearsal and Dance Recital
When:June 11 and June 12,2021

Friday,June 11th: Dress Rehearsal
• Approximately 77 parents in attendance and 88 dancers.
Gary Antle Productions will be setting up a 40'x27' (18" H )stage for the performance.Along
with the stage,the Production company will provide a generator to power audio.Weather
permitting, McBurnie Tents will set up a 40X80 frame tent to cover the stage and audience.
For rehearsal,dancers will arrive with one parent only. Students will rehearse on the stage for
Saturday performances.
Saturday,June 121: Dance recitals
There will be two shows: 11:OOam and 3:OOpm.
• 11:00am show will have 56 dancers and approximately 136 audience members.
• 3:OOpm show will have 48 dancers and approximately 168 audience members.
Ticketed guests will be allowed parking access one hour prior to each show.
Audience members will provide their own seating. Socially distant sections will be marked for
each dance family to sit within. Each show will be 90 minutes allowing an hour between shows
to disperse cars for the following show. Parking for the second show at 3pm will open at 2pm.
All equipment will be broken down and removed from the property on Saturday,June 12.

June 11&12,2021 at Peconic Bay Vineyard
PARKING PLAN
Location:The grass field closest to Main Road on the east side of the winery's farm stand will be
the field used for parking&our dance recitals. Two aerial maps are attached with field
measurements,egress points, parking area and seating mapped out for 150-200 vehicles.
On-site Parking Management:
A parking team will be directing traffic on where to enter,park,and exit.
Traffic cones,wooden stakes,and rope will be used to help direct cars and block off
appropriate areas.Attendants will be stationed at appropriate points to direct cars. The public
entry to the winery property from Main Road will be from the west farm stand driveway only.
An attendant will be stationed at the west Main Road entrance to direct cars to drive to the
parking area.Vehicles will be directed to park row by row.All rows of cars will be parked 6'
apart and each row will be about 10'apart to allow for emergency access or early departure.
The parking team will be on site until the cars have dispersed from the field at the end of each
show.Cars will exit the far east exit from the field at the end of each show.

SPECIAL EENT PERMIT INSTRUCTIONS ANIS APPLICATION FORM
Applications for a Special Event Permit are-subject to an inter-departmental coordinated review by the
Southold Town Board,Town Attorney,Town.Assessors,Land Preservation,Building,Planning,Zoning
Board of Appeals and Police Departments,and the Suffolk County Planning Commission.
Application fee: $150.00 per application. Up to six(6y multiple events of the same type, occurring over
a period of three months,may be permitted on one(1)application for a fee of$150.00. However,specific
details of each event must be included with this application.
All applications must be submitted at least 60 business days before the event. Applicants
are encouraged to submit applications as early as possible.

event mpy be rejected or subject to a late processing fee of$250.00 by the QM-ce of the Town Clerk,
unless a waiver is obtained. Requesting an expedited review must be submitted in writing to the Town
Clerk.The Town Clerk will forward all applications-to the Special Events Committee for processing.
The Committee will obtain comments on all applications from relevant Town, County and/or State
agencies and will forward completed applications to the Town Board with a recommendation as to
whether to grant or deny the application.
The Town reserves the right to request additional information from an applicant to address issues related
to the health,safety,and welfare of the community.
When-is a Permit Required?
All Special Events,per Southold Town Code Article I, Section 205-2(Definitions)must obtain a permit.
Occasional events on private residential properties hosted by the owner thereof that are by invitation such
as family gatherings, weddings, graduations, parties or not-for-profit fundraisers do not require permits.
.Any use of residential propea for 12rofiL such as a venue for weddings or other events is prohibited.
This application is deemed complete once all the following requirements are submitted to the Town

i. By acceptance of this permit, applicant agrees to adequately supervise and direct all parking to be on
the premises or at another site, and to provide parking assistants and any additional traffic controls

Event Description
Where: Peconic Bay Vineyard Field
What: Dance Rehearsal and Dance Recital
When:June 11 and June 12, 2021

Friday,June 11th: Dress Rehearsal
• Approximately 77 parents in attendance and 88 dancers.
Gary Antle Productions will be setting up a 40'x27' (18" H ) stage for the performance.Along
with the stage,the Production company will provide a generatorto power audio. Weather
permitting,,McBurnie Tents will set up a 40X80 frame tent to cover the stage and audience.
For rehearsal, dancers will arrive with one parent only. Students will rehearse on the stage for
Saturday performances.
Saturday,June 12th: Dance recitals
There will be two shows: 11:OOam and 3:OOpm.
• 11:OOam show will have 56 dancers and approximately 136 audience members.
• 3:OOpm show will have 48 dancers and approximately 168 audience members.
Ticketed guests will be allowed parking access one hour prior to each show.
Audience members will provide their own seating. Socially distant sections will be marked for
each dance family to sit within. Each show will be 90 minutes allowing an hour between shows
to disperse cars for the following show. Parking for the second show at 3pm will open at 2pm.
All equipment will be broken down and removed from the property on Saturday,June 12.

PARKING PLAN
Location:The grass field closest to Main Road on the east side of the winery's farm stand will be
the field used for parking&our dance recitals. Two aerial maps are attached with field
measurements, egress points, parking area and seating mapped out for 150-200 vehicles. ,
On-site Parking Management:
A parking team will be directing traffic on where to enter, park,and exit.
Traffic cones, wooden stakes, and rope will be used to help direct cars and block off
appropriate areas.Attendants will be stationed at appropriate points to direct cars. The public
entry to the winery property from Main Road will be'from the west farm stand driveway only.
An attendant will be stationed at the west Main Road entrance to direct cars to drive to the
parking area.Vehicles will be directed to park row by row.All rows of cars will be parked 6'
apart and each row will be about 10' apart to allow for emergency access or early departure.
The parking team will be on site until the cars have dispersed from the field at the end of each
show.Cars will exit the far east exit from the field at the end of each show.
