(VHB) is pleased to submit this proposal to provide Virtual Meeting Support Services to the Town of Southold (the"Town").VHB will assist the Town in identifying and implementing a customized, innovative technology solution that addresses Its need to conduct virtual public meetings. Town Attorney Town of Southold June 8,2020 Page 2 Task 2: Test Meeting VHB will conduct a test run of the meeting with the Town to verify the network,sound and video.The test run will allow the host and panel members to learn how the platform works including testing of speakers and microphones, how to mute(including muting participants when the host is presenting), instructing participants on how to raise their hands (digitally)when they want to comment or speak,how to submit questions to the moderator,and how to share and un-share content. VHB will review the agenda and provide recommendations for modifications.VHB will provide a URL link that can be added to the agenda and meeting notification, so participants know how to join. A link to a how-to document can also be provided that will walk participants through a step by step process on how to join the meeting depending on the type of device they will be using. Task 3: Meeting Execution VHB will assist in the execution of the virtual meeting including setting up the platform,scheduling the meeting,and facilitating the meeting including providing hands-on technical support prior to and during the meeting as requested. Task 4: Post Meeting Documentation VHB will provide the Town with a recording of the meeting. If captioning is used during the event,VHB can edit captions post-event for clarity and integrate captions to the recording as an additional service. If translation is used during the event,VHB can provide multiple versions of the recording as an additional service. FEE SCHEDULE VHB will provide the services described above on a monthly basis for Town Board, Planning Board,Zoning Board,and Trustee meetings and Work Sessions. Based on a review of the Town's calendar of events, it is anticipated that VHB will be requested to provide support for 11 Meetings and/or Work Sessions per month (five Work Sessions,and six Meetings).Accordingly,VHB will provide the services contained herein on a lump sum (LS) basis for a fixed fee cost in the amount of$22,000.00/month. For purposes of this proposal, it is assumed that Meetings and/or Work Sessions would be no more than three hours and require the support of one VHB technical professional. Should Meetings or Work Sessions require more than three hours and/or one VHB technical professional,additional costs associated with such services would be billed on a time and materials(T&M) basis in accordance with the attached rate schedule.
