I realized that I had not increased the insurance rider for the Town to $2,000,000 and had to get it changed. I've included the $150 event permit fee and the $250 late fee. In addition, I filed an application with the Suffolk County Farmland Preservation Committee for approval to hold this annual event as it occurs on land we sold the development rights to Suffolk County. This event will be reviewed by the committee to determine if it is within the guidelines set forth in our agreement. In the past, this event has been approved and deemed to meet the criteria set forth in our agreement with Suffolk County; so, I do not anticipate any problem with receiving the same determination. However, not wanting to be any later with the submission of this event application to you, I have submitted a copy of what I have submitted to the Suffolk County Farmland Preservation Committee. As soon as I hear from them I will pass along their review. I have also submitted a copy of the application I have made to the building department for tents to be used during this event. ieed anything further, please do not hesitate to contact me vial email or phone. -Dean Thomas c: 631-816-0399 e: dorothydeanthomas(C-Dama PO BOX 28 PECONIC, NY 11958 631.734.6010 RECEIVE® ®✓ o ® J U N 2 8 201 Southold Town Clerk TOWN OF SOUTHOLD o 01 q 3y Town Code Chapter 205 "Public Entertainment and Special Events" SPECIAL EVENT PERMIT INSTRUCTIONS AND APPLICATION FORM Applications for a Special Event Permit are subject to an inter-departmental coordinated review by the Southold Town Board,Town Attorney,Town Assessors,Land Preservation,Building,Planning,Zoning Board of Appeals and Police Departments, and the Suffolk County Planning Commission. Local Chefs Brian Wilson & Claudia Fleming, North Fork Table & Inn, create a seasonal menu featuring local ingredients and paired with Lenz wine. We then literally place the people in the middle of the farm where the grapes that made the wine are grown. We have chosen a portion of the field that is far enough away from the main road and away from other buildings to further insulate them from everything but the land from which their food comes. No amplified music or actually music of any kind is played during this event. In addition, lighting is minimal. The event is designed to cause minimal impact to the property and to be respectful of our neighbors. EDUCATIONAL ELEMENTS OF THE EVENT ■ Vineyard Tour focuses on changes in vineyard practices over the years, things we have learned through collaboration with other vineyard managers and Alice Wise, trellis systems, sustainable vs. organic farming practices, basic terminology (veraison, spur pruning, etc), and the dance that happens each harvest between the vineyard manager who wants to bring the crop in and the winemaker who wants to have the grape hang just a little bit longer. ■ So much focus is placed on the winery part of our identity that it is often overlooked that we are a FARM winery. This event literally places the guests within the context of their food and wine. ■ Ingredients for the dinner are sourced from local farms, fisheries, poultry farms, etc. ■ Seasonal Menu — in general people have no idea what is available seasonally. With supermarkets and refrigerated trucks we think nothing of having strawberries in December. Seasonal is the ultimate example of what it means to be a locavore! PO BOX 28 PECONIC,NY 11958 631.734.6010 IMPACT TO PROPERTY The event is designed to have a very limited impact on the property: ■ For parking, we use our neighbor's field — Otto Kiel, owner—field just adjacent to the west of our property. Insurance certificate & owner permission letters attached. ■ Guests walk along the tractor paths, not in between the vines (except for during the vineyard tour portion of the evening). ■ Table is set up in the clearing between vineyard blocks ■ Table is one long continuous farm-style table — idea is to mimic a farm picnic ■ Small kitchen area is set up in another small clearing alongside the tractor path. EVENT SCHEDULE 4:00pm: Guests arrive at The Lenz Winery and are served a glass of the Lenz Cuv6e (sparkling wine). 5:00pm: The group is separated into 4 sections and each begins their vineyard tour. The sections are led by Sam McCullough, Lenz Vineyard Manager; Thomas Spotteck, Lenz Winemaker; Dorothy-Dean Thomas, Marketing; and Peter J. Carroll, Lenz owner. The tour then ends at the dinner table. 5:45pm: Dinner begins. Courses presented by Chefs Brian Wilson & Claudia Fleming, North Fork Table & Inn. Wines presented by Thomas Spotteck, Lenz Winemaker. 8:00pm: Guests return to the Lenz Tasting Room for dessert with coffee and tea from North Fork Coffee Roasting Co. to end the evening. 8:00pm: Clean up begins PO BOX 28 PECONIC,NY 11958 631.734.6010 NN Kitt Me' Farms able 38355 NY-25 Enter,/ •• „.. ... ..', r ` Parkin9RqwvtIl earth: I I 11,011 s ` Kitchen Fa p able'c NN wo '38355.NY-25 P fie.,, '+.•+ `° '' m L 4 Ey oo Ic earth I AZ N ,f -Cars Ente ,Parking Cars` it, f i o o 11 I / _ ( .Ir. t 's y %.1rr` ..-,a >:.,tt, ,S3 TM';;/, •/' -- 7i•*r,,`i v , _Y, • A . °m. _ . The event is designed to be low-impact to the property, while literally placing the participants in the middle of their food source. In the past few years we have worked the following local farms and producers: Andrews Family Farm, Braun Seafood, Crescent Duck Farm, Feisty Acres Farm, Harvest Moon Shellfish Co, North Fork Flower Farm, North Fork Roasting Co, W & K Farms, Schmitt's Family Farm, KK's The Farm, Southold Fish Market, Deep Roots Farm, 8 Hands, Zilnicki Farms, etc. In the past, I have appeared before the Farmland Preservation Committee to secure permission to hold this event, but I understand that the process has now changed and it is less a permit process as a review to see if the event is compliant with the intent of the deed. The event is designed to be low-impact to the property, while literally placing the participants in the middle of their food source. In the past few years we have worked the following local farms and producers: Andrews Family Farm, Braun Seafood, Crescent Duck Farm, Feisty Acres Farm, Harvest Moon Shellfish Co, North Fork Flower Farm, North Fork Roasting Co, W & K Farms, Schmitt's Family Farm, KK's The Farm, Southold Fish Market, Deep Roots Farm, 8 Hands, Zilnicki Farms, etc. r In the past, I have appeared before the Farmland Preservation Committee to secure permission to hold this event, but I understand that the process has now changed and it is less a permit process as a review to see if the event is compliant with the intent of the deed. So in that vein, I'm including the attached information for your review. I'm available by cell and email if you need further information. I can also be available to meet in person should that be necessary. est, D othy-Dean Thomas c: 631-816-0399 e: dorothydeanthomas(@gmail.com PO BOX 28 PECONIC, NY 11958 631.734.6010 _00000 LEN _Z N O R T H P O R K LONG ISLAND 2019 DINNER IN THE VINES Contact : Dorothy-Dean Thomas Address: The Lenz Winery PO Box 28 Peconic, NY 11958 Phone: 631.734.6010 Cell: 631.816.0399 Agricultural Peter J. An additional tent may be used to cover where the guests eat ONLY in case of slight rain or excessive heat. Otherwise the event is completely `outdoors.' Kitchen: Kitchen will be created using a few 6' tables, portable sink, a grill, proofing cabinet, convection oven, propane oven/stove. PO BOX 28 PECONIC, NY 11958 631.734.6010 EVENT DESCRIPTION Dinner in the Vines is an event designed to promote and educate the public as to the sheer abundance of local agricultural products available on the East End of Long Island. Local Chefs Brian Wilson & Claudia Fleming, North Fork Table & Inn, create a seasonal menu featuring local ingredients and paired with Lenz wine. We then literally place the people in the middle of the farm where the grapes that made the wine are grown. We have chosen a portion of the field that is far enough away from the main road and away from other buildings to further insulate the guests from everything but the land from which their food comes. We do not have power out there. We have a generator that we use for some of the kitchen and refrigeration equipment. We have solar lights and candles. No amplified music or actually music of any kind is played during this event. Any noise is limited to conversation and nature. IMPACT TO PROPERTY The event is designed to have a very limited impact on the property: ■ For parking, we use our neighbor's field — Otto Kiel, owner—field just adjacent to the west of our property. I've included a copy of our insurance naming him as an additional insured to protect his field. I've also attached a copy of the parking plan. ■ Guests walk along the tractor paths, and only in-between the vines during the vineyard tour. PO BOX 28 PECONIC, NY 11958 631.734.6010 ■ Table is set up in the clearing between vineyard blocks ■ Table is one long continuous farm-style table — idea is to mimic a farm picnic ■ Small kitchen area is set up in another small clearing alongside the tractor path. EVENT SCHEDULE 4:OOpm: Guests arrive at The Lenz Winery and are served a glass of the Lenz Cuvee (sparkling wine). This year we will be expanding this portion of the evening to allow for introductions where the acoustics are better. 5:15pm: The group is separated into 4 sections and each begins their vineyard tour. The sections are led by Sam McCullough, Lenz Vineyard Manager; Thomas Spotteck, Lenz Winemaker & Oenologist; Dorothy-Dean Thomas, Marketing; and Peter J. Carroll, Lenz owner. The tour ends at the dinner table. 5:45pm: Dinner begins. 8:OOpm: Guests return to the Lenz Tasting Room for dessert served with coffee and tea from North Fork Roasting Co. to end the evening.
