To make it more accessible, the Town is looking for a copy editor and graphic designer to turn the 300+ pages of material and nearly 550 pages of appendices into a more readable and visually compelling document. To best assess how to approach this, we would like to better understand the purpose of the report and how the Town hopes it will be used. For more than a decade, the Sag Harbor-based DCII Graphics, Inc., and the Public Interest Media Group, Inc., (PIMG) have partnered together on a wide range of communications initiatives, including projects that translate scientific research and government findings into consumer-friendly materials. We start with a series of questions: 1. What are you trying to achieve? 2. Who are you trying to reach? 3. How do you hope your report will be used? The answers to these and other questions are vital to determining project direction as well as the work we do to shape and form the final report. Our initial assessment offers a few different approaches. They include to: 1. Conduct a straightforward copy edit (no rewrites) and format the document to make it more visually engaging; 2. Rewrite and shorten the document to give it more of a narrative and improve readability: 3. Create a separate, and much shorter (6-8 OR 12-24 pages) Public Summary document that would improve both readability and accessibility. This document would highlight the most important points the Town wants to communicate and could link to the longer online document; 4. Both copy edit the longer document and provide a separate shorter Public Summary docurnent that is easily navigable and can link back to the longer document. 5. Develop a user-friendly design format and produce graphics that ultimately create a visibly pleasing and engaging document. When I established Egret+Ox Planning, LLC as my own small business,it was projects like this that I had in mind where I could collaborate with a community to improve how they communicate their policies and strategies in written and graphic form. I have always strongly believed that one of the primary roles of the planner is to clearly and concisely communicate information to public officials and community members so that they can make their own informed decisions. And,even though I am located outside the New York region, I specifically built my business as a virtual office to provide the flexibility and mobility to work on projects, whether they are down the street or across the country. One of my current projects is modernizing the Comprehensive Master Plan for the City of Highland Park, Illinois, particularly updating the 40+year-old black-and-white document into a modernized and graphically-rich plan to enhance usability by City staff and elected officials. As highlighted in this proposal, I have completed over a dozen comprehensive plan projects, including plans for small towns and rural communities. My planning experience also includes a diverse range of other projects--from zoning,economic development,and housing to urban design, special area planning,and transportation planning-- which enables me to understand how strategies impact the various aspects of a community. It is also important to note that I am completing this project remotely,particularly replacing in-person meetings with City staff with videoconference calls and sharing information through platforms like Dropbox. This arrangement has worked well for all parties,especially helping to maximize time and budget. The Town's desire to update and format its Comprehensive Plan is a positive step in that direction. A modernized Comprehensive Plan will allow Town officials to provide an up-to-date document with strong visual graphics,easy- to-read narratives,and a cohesive design aesthetic, which they can share with residents, business owners,property owners,community organizations,governmental agency partners,and potential developers and investors. The investment that the Town is putting forth to update and format its Comprehensive Plan will play immediate dividends by broadening opportunities to continually enhance Southold as envisioned in the plan.
